      This section describes the standard components of DTS services that are classified as mainstream. Customers that use custom or non-standard services may not find information about all aspects of their particular service(s) in this version of the catalog. We intend to expand and enhance the Service Catalog through frequent updates . In the interim, if you have questions about our services, please contact Customer Delivery.

      Email has become a business critical application. Organizations must have the most efficient ways for their staff to communicate and collaborate with each other and their business partners. This increases the necessity of a messaging system with high performance, reliability and security. Outsourcing email support to the DTS enables departments to focus on core business functions while reducing resource allocation and costs.

      The CA.mail service provides customers with email and related messaging services that are reliable and secure. DTS is a highly available data center facility and maintains the service 24 hours a day, 7 days a week. This service is based on client-server architecture. The servers contain all mailboxes (in-boxes, calendars, contacts, deleted items, sent items and tasks) and public folders. This service provides virus protection, spam filtering, data backup and recovery, connectivity to other email systems (including Internet email), and the statewide global address list.

      Application Security

      The DTS performs various application vulnerability tasks to ensure that systems housed at the Data Centers are as safe and secure from unauthorized access attempts as possible. The DTS believes that securing applications from vulnerabilities is just as important as securing the network, OS, and server on which the application resides. By conducting application vulnerability scans, we can identify vulnerabilities within applications and determine the necessary steps required to mitigate the identified risks.

      The State of California and DTS customers require that the DTS maintain Information Technology (IT) security that protects all of its customers from unauthorized intrusions. Customers are expected to observe the various IT security-related best practices, standards and policies enforced within DTS including the security guidelines outlined by the International Standards Organization section 17799.

      Customers not in compliance with the DTS security guidelines subject DTS and its other customers to unnecessary security risks and consequences. The DTS may take remedial action or discontinue services to a customer that disregards the security guidelines.

      The DTS provides industry-standard security using hardware and software protocols to protect the CA.mail service from unauthorized access, modification and deletion. All Exchange servers involved in the CA.mail service are positioned behind a firewall. Changes to the firewall rules for a customer must be approved by the DTS and Customer Information Security Officers (ISO).

      Internet connections to the Exchange Servers (Outlook Web Access) are routed through redundant DMZ-located Internet Security and Acceleration (ISA) Servers over Secure Sockets Layer (SSL).

      Virus Protection

      The DTS provides multiple levels of virus protection: first is at the incoming email Simple Mail Transfer Protocol (SMTP) gateway, and second is on the mailbox server. Updates are automatically made to the anti-virus software on an hourly basis, or more often as needed, to ensure the highest level of protection from the latest viruses.

      The DTS scans all CA.mail (including attachments) as it enters and/or exits the system using a virus protection software package. If an infected email attachment is detected and the anti-virus software can eliminate the virus from the email, the email and attachment will be automatically cleaned and delivered to the recipient. If the anti-virus software cannot eliminate the virus from the email, the message is deleted.

      Physical Security

      The DTS follows industry best practices for the physical security of its Data Centers. These best practices state that processes and procedures should be established to ensure a safe and secure work environment for the entire DTS workforce and to secure the systems that reside at each of the data centers.

      As a result the DTS has developed strict security guidelines, policies, and procedures. These ensure that the DTS technical resources are properly protected, that the integrity and privacy of confidential information is maintained, and that information resources are available when they are needed.

    Other Features

      Outlook Web Access

      As part of the service, Outlook Web Access (OWA) provides secure, web-enabled access from the Internet to the user mailbox.

      Public Folders

      Public folders are repositories for information that different users on the same mail system can share. They can be used as a central repository for a variety of pieces of information. Customers can store business contacts, meeting minutes, policy and procedure documentation, as well as shared task lists and notes. Public folders can also contain custom forms for contributing and reviewing information, rules, and views for finding and organizing information. Storage space for public folders and backups of the folder contents are included in the basic service offering.

      Shared Address Book

      Users of the service offering are provided with a Global Address List (GAL) comprised of all email addresses that are provided to or are part of the service offering. The GAL is updated daily to ensure that it contains the most up-to-date information.

      Shared Calendar

      Users can keep track of free/busy information for colleagues who also subscribe to this service.

      Spam Filtering

      DTS offers a comprehensive approach to blocking spam and phishing. Email, including attachments, is scanned as it enters the system to determine if the email is valid or if it is spam or a phishing attempt.

      Backup and Recovery

      All Exchange mailboxes and public folders are backed up nightly. Mailboxes are restored from backup media, upon request, within the parameters of the current data recovery policy of 28 days. Data retention, the automated deletion or removal of data to archive based upon age of information, is configurable by department or individual. Depending on policies established, data available for recovery extends 28 days beyond its removal from storage. DTS data retention capabilities allow departments or individuals to set deletion ages on data contained within selected folders. This is different than the 14 days that deleted information is accessible in an individual remove from deleted items function and the 28 days that any deleted items are available for recovery from backup files.

      Exchange Customer Administration Tool (ECAT)

      An Exchange Customer Administration Tool (ECAT) is provided for customer email administrators to add, change and delete mailboxes. New CA.mail customers will receive training for this tool as part of the CA.mail migration process. For those email administration duties that cannot be accomplished using this tool, customer email administrators may request assistance by clicking Exchange Email Service Request Form.

      System Redundancy

      Featuring Microsoft clustering technology, DTS has architected the CA.mail system to maximize operational availability through redundancy and failover to reserve servers.

Part 1: Mailbox

    CA.mail provides basic mailbox functionality (e.g. an address, calendar).

Part 2: Storage

    CA.mail provides the disk storage required to store customer mailbox data including the In-box, Sent Items, Deleted Items, Calendar, Contacts and Personal Folders.

Part 3: Mobile Devices - Add-on Service Component

    The Mobile Devices Offering provides connectivity between CA.mail mailbox and the wireless mobile device providing the ability to send and receive messages instantly, open and review attachments, view your calendar or access contact information.     For those customers who need to send outbound email from devices (such as printers or servers) or applications, we offer SMTP Relay Service. For current customers of DTS, request this service by clicking SMTP Relay Request Form(. If you are not a current customer of DTS, you must submit a Service Request.

Part 5: Migration Service - Add-on Service Component

    Changing from the customer email environment to the CA.mail service environment will require an assessment performed by DTS technical staff. These services and associated costs for migration are not included in the rate structure of CA.mail.
